What is included in the rental fee?

The rental fee includes use of the space, set-up, six foot rectangular tables, chairs, stage, disco ball, and the audiovisual equipment (projector, microphone, stereo, i-pod/laptop compatible). Round tables (six feet) and upholstered chairs are available for a $50 fee. Table cloths are not provided with the rental.

How many people can fit at a round table? Rectangular table?
The round tables fit up to 10 people. We recommend 8-9 people per table for the most comfortable seating arrangement. Rectangular tables can fit 4-6 people comfortably.

What is the room capacity?
Room capacity depends on the type of event and set up requirements.
  • Theater style seating: 325
  • Dinner: Round Table seating (10 per table): 220; Rectangular Tables (6 per table): 225
  • Dinner/Dance: Round Table seating (10 per table): 180
Is there additional set-up and breakdown time included?
No, there is not any additional set-up and breakdown time allotted. The setup and breakdown time is included in the rental. If any extra time is desired, it must be included in the time requested and will be charged accordingly.

Is the kitchen included in the rental fee?
The kitchen is included for a $100 flat fee. This fee will allow access to the kitchen and kitchen appliances only during your rental period. (flatware, glassware, kitchen utensils, etc. are not available.)

Is the patio included in the rental fee?
The patio is included in the rental fee, and can be set up with rectangular tables for seating. Round tables and smoking are not permitted outside.

Is the stage available for our use?
The stage can be used for appropriate intended uses. These types of uses include, but are not limited to, presentations, wedding party seating, first dance, etc. The stage is not intended to be used for extra seating and/or a play area.

Do I have to hire a caterer, or can I bring my own food?
The HRCA allows the renter to either bring in their own food or hire a caterer. In either scenario, the following guidelines should be followed:
  • Renter must be present for deliveries and pickups. The HRCA staff does accept any responsibility for receiving deliveries or removing property of the renter.
  • All deliveries must stay on roadways and paths. No deliveries should be delivered before contracted time, without prior approval.
  • The HRCA is not responsible for any items left on the premises before or after contracted rental hours.
  • Kitchen must be cleaned and in good order after use.
Do you allow after-hours rentals?
With prior approval, we will allow after-hours rental up until 12:00 a.m. The hourly rate after the Recreation Center is closed is $225 per hour.

What decorations are allowed?
Renter may provide decorations that are approved by the HRCA. All decorations must be confined to the rental area. Decorations may be attached to the walls provided the paint is not damaged upon removal. Use of candles and confetti is not permitted.

What does the deposit cover?
The deposit is collected for potential damages to the room and/or kitchen. A supervisor will check the room(s) at the end of the rental. Any damages will be documented and the cost will be deducted from the deposit. All deposits will be processed within 3-5 days of the rental.

What is the alcohol policy?
The HRCA permits alcohol in the Debus Wildcat Mountain Auditorium with the following guidelines:
  • No alcohol may be sold at any time.
  • Alcoholic beverages are strictly limited to beer, wine, and champagne.
  • No alcoholic beverages may be served prior to 11:00 a.m. and service of alcoholic beverages shall cease no later than 45 minutes prior to end of rental period.
  • The following minimum Security Deposits are required for function at which alcohol will be served:
    • $500 if there are less than 50 attendees
    • $1,000 if there are more than 50 attendees
  • If the function will include 50 or more attendees:
    • A certified and insured bartender supplied by a caterer acceptable to the HRCA. Only such bartender will be authorized to serve alcohol.
    • An off-duty police officer shall be provided by the HRCA. The fee of the police officer plus 15% shall be paid by renter to the HRCA.
Is smoking allowed?
Smoking is not allowed on any HRCA property.

What clean up responsibilities do I have?
We request that the renters pick up all trash and leave the room in the condition as they first arrived. The HRCA janitorial staff will take the trash to the dumpster and vacuum the room.
